Online Human Resource Management

The client is a US based medical technology company having a worldwide presence spanning around 50 countries. The client is involved in serving healthcare institutions, life sciences researchers and clinical laboratories & in manufacturing medical equipments, laboratory instruments.

Client’s offices are spread over globe and each office has its own HR management system. Multiple systems provided inconsistent and incomplete information flow. It was difficult for the HR team to keep track of employee information at a global level. The new system designed should co-exist and compliment their present proprietary systems.

It was suggested to use Master Data Management System (MDMS) - a centralized system. The system design should facilitate seamless integration with other proprietary systems. Noesys with its core strength in requirements management took up the task of studying the present application. This involved a comprehensive analysis of the data formats flowing in from the different regions. The study demanded coordinating with the representatives of all regional HR Systems across different time zones.

Noesys was also involved in design of User Interface. Design of UIs was very critical as the user groups are from different regions of the globe. Detailed walk through of the each user interface with the regional users ensured that the design is flawless.

Next step was interacting and guiding the development team to ensure that the user interfaces were built as per design plan. It also involved detailed reviews of the use cases and test scenarios. The interface was designed to accommodate the regional settings for different users.

Client was impressed with the level of details covered in the analysis and design. The solution design was flexible enough to also facilitate integration with peripheral systems and client did not need to procure any proprietary HR system.
Challenges
Employee data is spread across multiple systems e.g. contact information is in mailing database, training details in training database etc. HR does not have consolidated information at any given point in time.
Employees work from various locations that are not same as their head count location. HR was unable to keep track of headcount and movements.
With multiple offices, information is spread across the globe and this required co-ordinating with the regional HR teams spread across different timelines.

HRMS Implementation

The client is a professional wildlife conservation trust based in India who is aimed at protecting endangered species and rare habitats. They also work towards spreading awareness among the people about the need to conservation.

The client works with many conservation agencies worldwide and has an extended team of employees, contractors and volunteers. The client was looking for a best fit solution to manage their Human Resources. The solution that could handle employees, volunteer workers, payrolls, leaves, reports etc. The project was about finding a right fit and cost effective solution available in the market that best suited the client’s requirements and then overseeing the implementation of the same.

Human Resources management in an organization becomes very important when they grow beyond certain size. Noesys first studied basic requirements and HR management methods the client was practicing. A detailed questionnaire was prepared to make preliminary assessments of the requirements. Based on the assessments, detailed requirements were laid down to find an appropriate solution.

Based on the requirements many potential HR management solutions were identified. Each vendor was asked to fill in Due-Diligence checklist which helped to evaluate vendors’ credibility, standard and support system provided by them in the maintenance of the application. Further they had to share the collaterals and literature on their products. After receiving the responses, the evaluation was done based on client’s requirements, presence and support centers of the vendor and pricing and licensing strategies offered.
Shortlisted vendors were requested to provide a detailed demonstration of the application covering various modules in depth that were interest to the client. With the detailed study of various potential solutions, Noesys prepared a recommendation document on the final contenders with their entire features, pricing, advantages and disadvantages. Finally Noesys chose the solution which best suited the client’s requirements and helped them to implement the same.
